Privacy notice

This is the same notice every guard and staff member sees inside the Truepost app, in the same words. Version 2026-09-21.

Who is responsible for your information. Truepost is software made by Sentrio Systems (Pty) Ltd. The security company you work for decides what is recorded and why, and is the responsible party under the Protection of Personal Information Act (POPIA). Sentrio Systems processes the information on that company's instructions as its operator, stores it in South Africa, and never sells it or uses it for advertising. Where this notice says "your security company", it means the company that added your cellphone number to the app.

What this app records about you

Your name, cellphone number, ID number, PSIRA number and grade, your roster, and everything you do on duty: when you book on and off, your location at those moments, the photos you take, your site reports, your occurrence book entries and incident reports.

Why

Your security company must prove to PSIRA and the NBCPSS that every guard is registered and where the roster says, keep an occurrence book, and pay you correctly for every shift. The app replaces the paper OB, the WhatsApp check-ins and the paper timesheet.

Location

The app takes your location when you book on, book off or send a report. If your security company switches on on-duty tracking, the app also records where you are about every 15 minutes while you are booked on, so the control room can see you are at your post and send help if something happens. Your home screen shows “Tracking on” when this is active. It stops the moment you book off and never records you off duty.

Photos

Photos are stored to prove you were at the site. Nobody compares your face automatically. Photos may be shown to the client as part of a site or incident report.

Who sees it

Your managers at your security company. Clients see reports about their own site only. PSIRA and NBCPSS inspectors may see registers and timesheets. Nobody else, unless the law requires it.

How long

Attendance records are kept for 3 years (Basic Conditions of Employment Act). Occurrence book lines cannot be changed or deleted by anyone, including your manager — corrections are written as new lines.

Your rights

You may ask your security company what is held about you, ask for mistakes to be corrected, and complain to the Information Regulator of South Africa (inforeg.org.za). Ask your manager for the company's Information Officer.

Monitoring policy

Shown to guards together with the notice above, because workplace monitoring must be disclosed.

Book on at the start of every shift

Take the photo the app asks for. If you cannot, choose a reason — never book on for someone else.

Send your site reports on time

The app reminds you. A missed report tells your manager something may be wrong at the site.

Write the truth in the OB

Every line has a number and cannot be changed. If you make a mistake, write a correction line.

Report incidents immediately

Use the INCIDENT button. Your manager is told the moment it sends.

Keep your PSIRA card with you

An inspector may ask for it at any time. The app shows your certificate status under Profile.

Your phone, your login

Never share your password. If you use a shared site phone, always choose your own name.

This website

truepost.co.za sets no cookies and loads nothing from third parties. The manager website at app.truepost.co.za uses one sign-in cookie that is strictly necessary to keep you logged in.
